TeamSync ("TeamSync," "we," "us," or "our") respects your privacy and is committed to protecting personal information.

This Privacy Policy explains how TeamSync collects, uses, stores, discloses, and protects personal information when you use the TeamSync website, applications, club portal, parent or guardian portal, athlete-facing features, attendance and check-in tools, and related services (collectively, the "Service").

TeamSync is designed to provide software to sports clubs, teams, leagues, associations, academies, and similar organizations.


1. Important Information About Your Personal Data

When a sports club or organization uses TeamSync, the Club may enter personal information about its athletes, members, parents, guardians, coaches, staff, and other individuals.

In many cases, the Club determines:

  • What information is collected;
  • Why the information is collected;
  • How the information is used;
  • How long the information should be retained; and
  • Who should have access to the information.

For information submitted by a Club for purposes of providing the Service, the Club generally acts as the data controller, while TeamSync acts as a data processor or service provider processing information on the Club's behalf.

If you have questions about information collected by a particular Club, you may contact that Club directly.


2. Information We Collect

Depending on how the Service is used, we may collect or process the following categories of information.

Account Information

This may include:

  • Name;
  • Email address;
  • Phone number;
  • Username;
  • Password credentials or authentication information;
  • Account preferences.

Club Information

This may include:

  • Club or organization name;
  • Business address;
  • Telephone number;
  • Email address;
  • Website;
  • Administrative contact information;
  • Club settings and configuration information.

Athlete and Member Information

Depending on the Club's use of TeamSync, this may include:

  • Name;
  • Date of birth or age;
  • Team or program information;
  • Registration information;
  • Attendance records;
  • Participation records;
  • Emergency contact information;
  • Parent or guardian information;
  • Other information that the Club chooses to maintain through the Service.

Parent and Guardian Information

  • Relationship to an athlete or member;

  • Communications with the Club.

Coach and Staff Information

This may include:

  • Name;
  • Contact information;

TeamSync does not store complete credit or debit card numbers on its servers.

We will not sell personal information to third parties.

We will not use identifiable Club Data for unrelated advertising purposes.


4. Information Concerning Children

TeamSync may process information relating to children because sports Clubs and organizations use the Service to manage youth athletes and members.

TeamSync does not use children's information for behavioral advertising or unrelated commercial purposes.

The Club is responsible for obtaining any parental or guardian permissions required for the collection and use of children's information.

Parents and guardians who have questions regarding information maintained about their child should generally contact the relevant Club first.


5. How We Share Personal Information

TeamSync may disclose personal information to:

Information submitted by a Club may be accessible to authorized administrators, coaches, staff, parents, guardians, athletes, members, or other Users according to the Club's configuration and permissions.

Service Providers

We may share information with trusted third-party service providers that help us operate TeamSync, such as:

  • Cloud hosting and database infrastructure providers;
  • Authentication providers;
  • Email and communications providers;
  • Payment processors;
  • Analytics and monitoring providers;
  • Customer support providers;

These providers are authorized to process information only as reasonably necessary to provide their services to TeamSync.

Users and Clubs are also responsible for protecting their passwords, authentication credentials, and devices.

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, to provide the Service, to comply with legal obligations, to resolve disputes, and to enforce agreements.

For Club Data, retention periods may be determined by the Club and applicable contractual arrangements.

Following termination of a Club's Account, TeamSync may retain or delete Club Data in accordance with the applicable agreement and legal requirements.


10. Cookies and Similar Technologies

TeamSync may use cookies, local storage, session technologies, and similar technologies to:

  • Keep Users authenticated;
  • Maintain security;
  • Remember preferences;
  • Operate the Service;
  • Understand how the Service is used;
  • Diagnose technical issues.

We do not use cookies for unrelated behavioral advertising purposes.

TeamSync may send transactional communications such as:

  • Password reset emails;
  • Security notifications;

Where a Club uses TeamSync to send communications to its Users, those communications are sent on behalf of the Club and the Club is responsible for their content and purpose.

Depending on applicable law, individuals may have rights relating to their personal information, including the right to:

  • Request correction of inaccurate information;
  • Request deletion where legally permitted;
  • Request information about how personal information is being used;
  • Object to or restrict certain processing;

Where TeamSync processes information on behalf of a Club, requests concerning that information may need to be directed to the relevant Club.

TeamSync will reasonably assist Clubs with privacy requests where required by applicable law and the parties' agreement.

You may also have the right to raise a complaint with the applicable data protection authority, including the Data Protection Commissioner of The Bahamas where applicable.


14. Account Deletion

Users may request deletion of their TeamSync Account where applicable.

Because TeamSync Accounts may be created and controlled by a Club, certain Account or athlete/member information may need to be deleted or managed by the Club rather than directly by TeamSync.

Deletion requests may be subject to legal, contractual, security, or record-retention requirements.


15. Changes to This Privacy Policy

We may update this Privacy Policy periodically.

If we make material changes, we may provide notice through the Service, by email, or through another reasonable method.

The updated Privacy Policy will indicate the date on which it became effective.
